Logistics for Demonstrators

We look forward to your participation in the Fall 2005 Internet2 Member Meeting demonstrations. The member meeting takes place 19-22 September in Philadelphia, PA with the demos open on 20-21 September. We are providing this logistics page to assist you in planning for your demo. Demo Location
The demos take place in Conference Center Hall at the Wyndham Philadelphia, location of the fall member meeting.

Demo Setup and Schedule
During the Member Meeting week, the demo schedule is as follows. We will adjust the schedule based on how much prep work is done in advance, demonstrator travel schedules, conference program changes, etc. Demos must be staffed at all times during the open hours.

Setup Sunday, 18 September, 12n-5:00pm
Setup Monday, 19 September, 8:00am-9:00pm

Directions, Transportation, Driving, and Parking

From Philadelphia International Airport
Follow I-95 North to "Exit 22" which is the "676 West Central Philadelphia" Exit. When you get off at the exit, follow 676 West to the first exit which is "Broad Street Central Philadelphia". When you get off that exit, it will bring you onto 15th Street. Take 15th Street one half block to Spring Street and make a right, then go one block to 16th Street and make a right. The hotel is one quarter block down on the left.

From Northeast Philadelphia Airport
Follow I-95 South to Exit 22 which is the "676 West Central Philadelphia" Exit. When you get off at the Broad Street exit (5 miles past First Union Center) follow 676 West to the next exit which is "Broad Street Central Philadelphia". When you get off that exit, it will bring you onto 15th Street. Take 15th Street one half block to Spring Street and make a right, then go one block to 16th Street and make a right. The hotel is one-quarter block down on the left.

Shuttle service is available to the conference hotel from this airport. Information on shuttle service is available at the Centralized Ground Transportation Counters in all baggage claims or by calling 215-937-6958.

Northeast Philadelphia Airport (PNE), approximately 20 miles

Taxi is approximately USD $40.00

Parking

Self-parking is $20 per day. Valet parking is $28 per day.

The Fall 2005 Internet2 Member Meeting will be held at the Wyndham Philadelphia in Philadelphia, PA from 19-22 September. The hotel address is:

Demonstrators are responsible for paying for their own rooms and should book their own rooms through the hotel. The conference hotel rate ($169/night for single or double occupancy) is still available on a first come, first served basis. Block cutoff date is Friday, Aug 19, 2005 at 5pm EDT. Check in 3pm. Badges and Registration
All demonstrators are required to register for the meeting. Please contact Elaine Lauerman so she can provide you with a special registration code to use when filling out the online registration form. This code ensures that you will not be charged the registration fee. Each demonstration group is entitled to 3 complimentary registrations.

When you arrive at the Wyndham, you will receive a demonstration badge, which you will be required to wear. Demonstration badges will be distributed to all demonstrators at the Internet2 registration desk at the Wyndham. In order to ensure that a badge will be waiting for you, and for all members of your demo team, please make sure to have each individual register for the meeting. Please wear your badge at all times during the meeting, and also during setup and breakdown.

IP Addresses
Elaine Lauerman will be supplying IP addresses for demoers in a separate email.

Food
We will provide selected meals for demonstration team members only. If you have any food allergies or other special needs (e.g. vegetarian) let Elaine Lauerman know so we can accommodate you.

What to Wear
Business casual attire for the demonstrations, meeting sessions, and receptions is appropriate.

Equipment Tear Down
Please note that your demo equipment must be packed and removed from the demo exhibit area by 1:00pm on Thursday, 22 September.

Shipping and Receiving
The Wyndham has established the following procedures for shipping and receiving convention materials.  Your cooperation in adhering to these procedures will provide for efficient handling of your materials.

All convention materials, brochures, office supplies, exhibits, etc. shipped to the hotel no earlier than September 15 for use in the convention offices, and registration areas, MUST BE LABELED ACCORDINGLY:

HOTEL SHIPPING & RECEIVING POLICY
Box Storage Requirements:

  • Deliveries will not be accepted more than three (3) days prior to arrival date (9/15/05).
  • All deliveries will be released to the addressee only, unless alternate arrangements have been made through the Meetings & Conventions/Catering Manager.  Signatures are required for release of shipments.
  • Handling Fee: If more than 3 days prior to guest arrival date, $1 per box, per day,
    In addition to receiving and delivery fees.

AT THE HOTEL
All demoers are responsible for their own outbound shipments. Internet2 cannot be responsible for signing, distributing, storing, etc.
